Information about Maximum Residence Rule (MRR)

Each program at the College of Education has a declared period of regular residence. Students who do not finish the program on time are required to appeal for an extension of the Maximum Residence Rule (MRR) for each year after their regular residence period is over.

I. For Undergraduate students:

Regular four-year bachelor’s degree: Students who commenced their program in FirstSemester AY 2018-2019 or earlier

Undergraduate students with Student Numbers that start with 2017 or older, who have not been granted extension of residence

II. For Graduate students:

  • MAEd Students who entered their program in the 2nd Semester of the Academic Years specified in the table below.

Important Note: Since 2nd Semester 2019-2020, AY 2020-2021, and AY 2021-2022 are not included in the reckoning of residence toward MRR, there might have been changes in the computation of your extension status (which also affect the time to take the additional graduate courses).

III. REQUIREMENTS

First Appeal:

  1. A letter of appeal addressed to the College Secretary, Dr. Frances Olivia M. Magtoto, and endorsed by your Program Adviser.
    • Provide information such as your student number, program, first entry into the program, and your contact number and email address.
    • Disclose reason/s for going beyond the MRR.
    • Ask for your Program Adviser’s signature as proof of endorsement.
  2. A timetable prepared in consultation with your Program Adviser. Format found at this link: https://old.old.educ.upd.edu.ph/wp-content/uploads/2020/03/MRR-TIMETABLE.pd
  3. An accomplished Program of Study / Curriculum Checklist checked and verified by your Program Adviser. (Note: The signature of the Division Chair on the letter and Program of Study is not needed. Endorsement of the Concerned Division Chair will be done online.)

Additional Requirement for Second and Third Appeals: A copy of the previously approved extension.

Fourth Appeal (MAEd and PhD Ed Students) :

  1. A letter of appeal addressed to the Graduate Student Admission, Progress and Welfare (GSAPAW) Chair, Dr. Jaclyn Marie L. Cauyan, and endorsed by your Program Adviser.
    • Provide information such as your student number, program, first entry into the program, and your contact number and email address. Also include the date you passed your Outline Defense.
    • Disclose reason/s for going beyond the MRR.
    • State how you have used the previous extension given.
    • Ask your Program Adviser for a letter of endorsement.

  3. An accomplished Program of Study / Curriculum Checklist checked and verified by your Program Adviser. (Note: The signature of the Division Chair on the letter and Program of Study is not needed. Endorsement of the Concerned Division Chair will be done online.)

Fifth and Final Appeal (MAEd and PhD Ed Students):

  1. A letter of appeal addressed to the Graduate Student Admission, Progress and Welfare (GSAPAW) Chair, Dr. Jaclyn Marie L. Cauyan, and endorsed by your Program Adviser.
    • Provide information such as your student number, program, first entry into the program, and your contact number and email address. Also include the date you passed your Outline Defense, and your progress in your implementation of research and data analysis.
    • Disclose reason/s for going beyond the MRR.
    • State how you have used the previous extension given.
    • Ask your Program Adviser for a letter of endorsement.

Note: If Graduate Student is on 4th or 5th extension of residence, there should be an approved outline (4th extension) or the student is already at the writing stage or has, at the minimum, the research data needed to write the paper (5th extension).

OTHER REQUIREMENTS:

  1. If returning from AWOL/LOA, please disclose all activities (i.e., trips local and abroad, enrollment in courses or institutions, etc.) undertaken during the term/s that the student is not enrolled.
  2. If returning from AWOL/LOA and the reason is health-related, a copy of medical certificate.
  3. If returning from AWOL/LOA and the reason is financial concerns (i.e., student had to work), a certificate of employment

PROCEDURE:

  1.  Download and accomplish the following:
    • Program of Study/Curriculum Checklist
    • MRR timetable (if applicable)
  2. Write a letter of appeal and affix your e-signature.  Contact your Program Adviser for endorsement of your appeal. Your Program Adviser may do any of the following: 1) Affix his/her e-signatures in the letter, Program of Study, and MRR timetable or 2) Write an email that s/he is endorsing your appeal and certifies the correctness of all supporting documents (i.e., POS and MRR Timetable). For students applying for 4th and 5th extension of residence, the Research Adviser should write a separate letter providing strong justification.

Note: The signature of the Division Chair on the letter and Program of Study is not needed. Endorsement of the Concerned Division Chair will be done online.

3. Print grades from CRS or save screenshot of grades in a Word file.

4. Email all the required documents to educadmissions.updiliman@up.edu.ph with subject line: MRRExtension_Surname, Name (i.e., MRRExtension_Dela Cruz, Juan).

5. Patiently wait for the email from the Office of the College Secretary (OSec) regarding the result of your appeal. The Office processes numerous requests and appeals; hence, please give the staff time to evaluate and verify submitted documents.

IMPORTANT REMINDERS:

  1. Please make sure that all information specified in all submitted documents (i.e., letter of appeal, Student Directory, supporting papers, etc.) is true and accurate. Inaccurate information in official documents is considered an offense.
  2. Please submit ALL the necessary documents as incomplete submissions will not be processed.
  3. Please be reminded that submitted documents are subject for verification. Submission of spurious or tampered documents is considered an offense.
